Privacy Statement

Who we are. Property Management Insurance is a licensed insurance producer in the State of New York, license number, operating this website at propertymanagementinsurance.net. We are licensed only in New York and place coverage only for property and operations located in New York State. Questions about this statement can be sent to info@propertymanagementinsurance.net or (914) 227-2930.
What we collect. Through the coverage review form, the quote forms, and the booking tool, we collect the information you provide: name, company, email address, telephone number, the property management segment and service area you select, a banded portfolio size, your current carrier or broker if you tell us, and anything you write in the free-text field. Through analytics, we collect standard technical information about your visit — pages viewed, approximate location derived from IP address, referring source, device and browser type — subject to your cookie choices.
What we do not ask for on this site. We do not request Social Security numbers, dates of birth, financial account numbers, or claim narratives through any web form. If placing coverage requires that information, it is collected directly by a licensed producer through a secure channel, not through this website.
Why we collect it. To respond to your request, to prepare a coverage review or quotation, to place and service insurance on your behalf, to meet our own regulatory recordkeeping obligations as a licensed producer, and to understand how this site is used so it can be improved.
Who receives it. Insurance carriers, wholesale brokers, and general agents to whom we submit your risk; service providers who host this site, deliver our email, and provide analytics and scheduling; and any party to whom disclosure is required by law, regulation, or court order. We do not sell personal information, and we do not share it with third parties for their own marketing.
Nonpublic personal financial information. New York Insurance Regulation 169 (11 NYCRR 420) and the Gramm-Leach-Bliley Act govern nonpublic personal financial information about individuals obtaining insurance for personal, family, or household purposes. We place commercial coverage for property management businesses, community associations, and property owners in a business capacity, so those notice and opt-out requirements generally do not apply to the information collected through this site. Where we do handle information subject to those rules, we provide the notices they require and limit disclosure accordingly.
Data security. We maintain a data security program reasonably designed to protect the private information we hold, consistent with the New York SHIELD Act, and a cybersecurity program and written cybersecurity policy consistent with 23 NYCRR Part 500. As a smaller licensee we qualify for the limited exemption under 23 NYCRR 500.19(a) from certain of that regulation's requirements, and have filed the required Notice of Exemption with the Department of Financial Services. Forms on this site are served over TLS. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
How long we keep it. Inquiries that do not become clients are retained for twenty-four months and then deleted. Client records are retained for the period our regulatory and professional obligations require — generally not less than six years under New York Insurance Regulation 152 (11 NYCRR 243) — and longer where a claim or dispute is pending.
Your choices. You can ask us what we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, and opt out of marketing email at any time using the unsubscribe link or by contacting us. Write to privacy@propertymanagementinsurance.net. We will respond within thirty days. These rights are offered to all visitors as a matter of policy. Because we are licensed and operate only in New York, we do not extend California-specific CCPA/CPRA rights or publish California disclosures.
Children. This site is directed to businesses and is not intended for anyone under sixteen. We do not knowingly collect information from children.
Changes. If this statement changes materially, we will post the revised version here and update the date above.
